Facilities Manager, Beckmen YOLA Center

Founded in 1919, the Los Angeles Philharmonic Association's mission is to perform, present, and promote music in its varied forms at the highest level of excellence to a diverse and large audience, both at the Walt Disney Concert Hall and the Hollywood Bowl. The Los Angeles Philharmonic Association is dedicated to continuing its pre-eminent status in the music world of the 21st century. 

Position Summary:

The Facilities Manager, Beckmen YOLA Center, reporting to the Director, Beckmen YOLA Center, is responsible for managing the on-site day-to-day facilities operations of the Judith and Thomas L. Beckmen YOLA Center, including site safety and security, site and office operations, facilities budget and project management, and various needs related to program, event, and production support.

YOLA (Youth Orchestra Los Angeles) is the Los Angeles Philharmonic’s youth development initiative establishing music education programs in underresourced communities across Los Angeles. YOLA at Inglewood, housed at the Beckmen YOLA Center, marks YOLA’s fifth youth orchestra endeavor, the first YOLA program in the Inglewood community.

The Beckmen YOLA Center (BYC) is scheduled to open in Spring 2021 and is YOLA’s first purpose-built site, designed for intensive music education and performance. The site will house the YOLA at Inglewood program, “cross-site” work between all YOLA site programs, as well as a variety of distance learning and professional development opportunities for local to international students, educators, and administrators.

Position Elements:
  • Manage, execute, and advise day-to-day physical site operations, including:
    • Inspect venue to recommend repairs, maintenance, or additions to the site
    • Oversee general custodial services for day-to-day operations during student hours, such as emergency plumbing or electrical mitigations; Manage custodial contract for services in non-student hours
    • Provide general, first level on-site IT/tech support, including for Internet2, and liaise with LA Phil IT department for more complex, high level support needs and regular maintenance
    • With Director, BYC, develop and implement a comprehensive traffic and parking plan, and manage parking lot policies, protocols, usage, and maintenance
    • Manage contracts and permits for HVAC, elevators, and other systems, including supervising repairs and maintenance
    • Identify and implement systems and processes to increase operational efficiency
    • Create, administer, and document building key inventory, policies, and protocols
    • Develop and manage furniture, fixtures, equipment, and infrastructure inventory system
    • Manage and maintain site drawings
  • Manage, execute, and advise onsite security and safety needs for day-to-day and special event operations, including, but not limited to: implementing, improving, and documenting security policies, systems, and procedures; serve as safety officer in the case of an emergency; design and implement COVID-19 protocols in consultation with HR/Legal; and manage testing, repairs, and maintenance of security and safety infrastructure
  • Develop and administer annual building facilities budget, monitor related expenditures related to the venue, and process vendor invoices to provide prompt and accurate payment
  • Manage, execute, and advise day-to-day production operations, including:
    • Manage room schedules to ensure proper production equipment for program needs
    • Hire and manage stage crew as needed
    • Maintain house technical equipment such as speakers, mics, tools, projectors, lighting and audio consoles, recording equipment, and rigging gear
    • Develop relationship with production vendors for production equipment rental and services as needed
    • Assist with stage and production operations for YOLA program and special events, as needed
    • Organize bi-annual production safety inspection of facility
  • Coordinate large instrument maintenance, with advisement from Production and YOLA at Inglewood program team – e.g., piano tunings, percussion maintenance
  • Act as liaison to the City of Inglewood for City’s use of the building for events, per the site’s Disposition & Development Agreement
  • Prepare site, operational, and/or project reports for BYC Director, VP Learning, or other LA Phil leadership, as requested
  • Oversee and manage hiring of part-time facility staff, in collaboration with HR and Director, BYC
  • Establish a positive working relationship with staff, teaching artists, students, and families; Respond to a wide range of student service concerns with sensitivity and care, as needed
  • Identify and manage capital projects, including the supervision of any on-site planning, construction, or maintenance as needed
  • Execute special projects and other duties as assigned

Position Requirements:

  • Minimum of three years’ experience in facility or site operations and/or management; Experience in a school, community music school, community center, or performing arts facility preferred
  • Knowledge of facility/site best practices, with specific knowledge of security and safety practices for student populations highly desirable
  • High proficiency in IT/tech knowledge and skills (including networking, system support and personal computing skills, e.g., MS Suite, AutoCAD), and/or demonstrated willingness to learn; Concert production experience and/or knowledge a plus
  • High level understanding of accounting, financial, and budgeting processes, with a proven ability to manage complex budgets and complete projects within budget
  • Must be detail oriented, adaptive, flexible and resilient with the ability to plan ahead for contingencies and respond quickly as needed
  • Must be self-motivated, resourceful, and confident in prioritizing tasks, following-up, and execution; Creative thinker with strong problem-solving skills is a plus
  • Excellent inter-personal skills for interactions across all levels of staff, students and families, and civic leadership and stakeholders
  • Excellent written and verbal communications; Confidence in public speaking
  • Ability to work well on a team and in a high-pressure, multi-tasking environment, including meeting frequent deadlines
  • Secondary language fluency desirable, with Spanish proficiency preferred
  • Must be able available to work weekends and evenings to support regular YOLA program operations
